Please send funds as personal payments and not business payments. You are not buying goods and services from the Troop, we are merely collecting and distributing scout fees and earnings.
Grubmaster and other receipts submitted for reimbursement must be legitimate receipts in order for me to provide reimbursement. This means that receipts must include:
Store Name
Date of purchase
Itemized list of items purchased
Itemized pricing for items purchased
Total amount of purchase, including applicable taxes
Receipts I CAN accept: printed receipts or email order confirmations that include all of the above information.
Receipts I CANNOT accept: screenshots from online order apps.
Please also remember that a scout is thrifty! When purchasing as Grubmaster, please remember that the average cost for each Scout for the weekend should be $15 or under whenever possible.
Explanation on how campout fees are divided out among attendees:
Each campout will have a fee for the campsite - this cost is divided out among all attendees and is added as a charge from the troop in the Scout Accounts in Scoutbook, in most cases, the cost for adults and Scouts will be the same.
The cost for food during campouts varies from campout to campout.
Adults will usually be grouped together into a single patrol with one Grubmaster (one person who buys all the food for the planned adult meals).
Depending on the number of Scouts attending, the Scouts may be lumped into a single patrol (as we did on the Rafting campout) or broken up into multiple patrols. The patrols will make the meal plans and grocery lists. There is one Grubmaster per patrol who purchases the food.
The final cost of the food for each patrol is then divided out between all attending members of the patrol and is added to the campout charge from the troop in the Scout Accounts in Scoutbook.
The cost of additional activities are divided out by activity fee by attendee.
